Job Description

The Administrative Assistant/Bookstore Clerk reports to the Office Manager of the Ashe Campus and fulfills a primary role of administrative support for occupational extension courses, curriculum courses, and operates the Ashe Campus bookstore. He/she will serve as the administrative support for assigned programs and directors, including the processing of appropriate paperwork (e.g., contracts, worksheets, and rosters); assisting faculty as needed; providing excellent customer service to students and others using the bookstore; facilitating the ordering and maintaining of inventory for books and other items available in the store; and maintaining the necessary paperwork for the bookstore. He/she will be customer-focused and will work across the Ashe Campus to ensure efficient, superlative support is provided to students, staff, and faculty. This is a multi-faceted position, working with students, faculty, staff, and the community to meet the changing demands of the services area. This position will be housed at the Ashe Campus.

Essential Duties Summary

Administrative Assistant Duties
1. Providing general office and administrative support for program directors and faculty within the assigned areas
2. Processing course documentation and rosters and compiling course packets to ensure the smooth operation of the assigned instructional programs
3. Supporting students and prospective students at the Ashe Campus in the enrollment process and providing a customer-focused approach to problem solving
4. Maintaining personnel files for part-time faculty and assisting program directors in ensuring that instructors meet accreditation criteria, as appropriate
5. Assisting with the development of WD&CE contracts, work study contracts, collecting rosters and grade reports, and other administrative functions associated with classroom instruction

Bookstore Clerk
6. Offering exceptional customer service to students and others in a retail environment
7. Operating electronic point-of-sale cash register and completing daily deposits
8. Receiving, pricing, and stocking merchandise and textbooks
9. Maintaining an attractive store appearance
10. Ordering/maintaining inventory levels of food, drinks, and supplies for resale
11. Ordering student and instructor textbooks and graduates’ caps and gowns
12. Conducting periodic inventories

13. Participating in professional development opportunities, both internally and externally
14. Serving on college committees and taskforces, as assigned
15. Understanding the mission of the NC Community College System

Required Qualifications

1. Associate Degree
2. Microsoft Word and Excel knowledge

Preferred Qualifications
Physical Demands

1. Ability to lift up to 45 pounds
2. Ability to work flexible hours
