Job Description

This position will operate under the direction and supervision of the dean of Health Sciences and will coordinate a variety of functions for the Health Sciences offices and faculty. The administrative assistant provides quality customer service to students, faculty, staff and the general public entering the Health Sciences Division and the College campus.

Essential Duties Summary

The position includes the following responsibilities and expectations:
1. Performs work ranging from general office support assignments to administrative duties requiring an understanding of the Health Science programs and college policies and procedures.
2. Provides administrative support to the dean, the full-time faculty, and part-time faculty.
3. Performs general office support activities:
a. Answers telephones and provides division and college information to students and the public.
b. Maintains the division digital signage.
c. Distributes division mail (pick-up and delivery).
d. Maintains a professional office environment and reception area.
4. Supports division budget processes
a. Assists division dean and instructors with the development and preparation of the curriculum budget, and monitors the overall budget operations for the division.
b. Prepares, submits, and maintains records for all division purchasing requisitions.
5. Maintains required records and reports
a. Coordinates the development of the curriculum course schedule (course schedule, instructors’ schedules, block schedules, and room utilization) with the lead instructors and division dean.
b. Generates part-time faculty contract worksheets and submits to the curriculum records manager in a timely manner.
c. Maintains an accurate division book order.
d. Maintains a file of all division course syllabi.
e. Assists instructors with reproducing syllabi and tests, as needed.
f. Coordinates the process of division course evaluations.
g. Monitors the timely online submission by faculty of end-of-semester grades and attendance records
h. Compiles and submits department travel authorization and reimbursement forms.
i. Maintains the yearly equipment and supplies inventory.
6. Supports college mission and values.
a. Supports student learning and retention efforts, as appropriate.
b. Participates in college committees when assigned.
c. Participates in professional development activities, as appropriate.
7. Supervises division Work-Study students.
8. Performs other related duties, as assigned by supervisor.

Required Qualifications

Applicants must have earned a minimum of an associate in applied science degree with major coursework in office systems technology, business administration, accounting, information systems, or a related field with documented experience in an office environment.

Resume of experience should reflect strong communication, critical thinking and problem solving skills; superior organizational, data entry and document design skills; and proficiency with Microsoft Office Suite™ (particularly Word and Excel).

Preferred Qualifications

Familiarity with WCC or other education-related work environments is preferred.
